Photo booth rental at a wedding reception in Lancaster PA

10 Questions to Ask a Photo Booth Company Before You Book

You found a photo booth service provider. The website looks nice. The Instagram has good posts. The pricing seems fair. You are about to pay a deposit.

Stop for ten minutes first.

The photo booth industry has no licensing requirement, no accreditation body, and very low barriers to entry. A person can buy a used iPad, a ring light, and a printer, call themselves a photo booth company, and be taking bookings by next week. Some of them are good. Some of them will show up to your wedding reception with malfunctioning equipment, no backup plan, and one attendant who has never run an event before.

The questions below are the ones we would ask if we were booking a photo booth for our own event. Each one has a good answer and a red flag answer. If a company cannot answer these questions clearly, confidently, and specifically — that is the answer.

A note on how to use this list:

These are conversation questions, not a form to email. Call the company or ask them at a venue visit. How they respond in real time tells you as much as the content of the answer — a vendor who gets defensive, vague, or impatient with basic questions is showing you something important.

01 Ask this:

What is included in your standard package, and what costs extra?

✓  Good answer: A clear, specific list: setup and teardown, a dedicated attendant, X number of hours, a custom overlay or template, unlimited sessions, digital sharing, a gallery delivered within Y hours. Add-ons listed separately with prices.
✗  Red flag: Vague language like “everything you need” or “all-inclusive” without specifics. Or a base price that sounds low but has a long list of things that cost extra: backdrop, props, attendant, digital delivery, custom template.

Photo booth pricing works like airline pricing: the advertised number is rarely what you actually pay. A company that quotes $499 but charges separately for a backdrop ($150), a physical prop set ($75), a custom overlay ($100), and a digital gallery ($50) has a real price of $874. Ask for the total price for your specific event with the things you actually want included, before you compare quotes.

02 Ask this:

Will there be a dedicated attendant at my event the entire time, or do you set up and leave?

✓  Good answer: Yes, a trained attendant is on-site for the full duration of your event. They manage the queue, help guests, troubleshoot any issues, and ensure the booth runs smoothly from open to close.
✗  Red flag: We set up, leave contact information, and can come back if something goes wrong. Or: we have an attendant for the first hour and then check in remotely.

An unattended photo booth at a live event is a broken photo booth waiting to happen. Guests who cannot figure out the interface leave. Paper jams do not fix themselves. The printer running out of ribbon mid-reception with no one to replace it has ruined more than a few events. An on-site attendant is not a luxury add-on — it is a basic requirement. If a company tries to charge you extra for it, price accordingly.

03 Ask this:

What is your backup plan if equipment fails on the day of my event?

Photo booth attendant assisting guests at a wedding reception

✓  Good answer: We carry backup components for every critical part of the system. If the primary unit fails, we can swap in a replacement. We have handled equipment issues at events before and our process is fast.
✗  Red flag: That has never happened to us, so we don’t really have a plan. Or: we would offer a partial refund. Or silence and a redirect.

Every piece of electronic equipment can fail. A vendor who has been running events for more than a year has encountered equipment issues — a printer jam, a software crash, a lighting malfunction. A vendor who says it has never happened to them either has not been running events long enough or is not being straight with you. What you want to know is not whether problems happen but whether the company is prepared when they do.

04 Ask this:

Can I see photos and videos from recent real events — not stock images or demo samples?

✓  Good answer: Yes. Here are links to galleries from events at [specific venues]. Here are recent Instagram posts from actual bookings. You can also ask previous clients.
✗  Red flag: Here are some sample designs we made in our studio. Or: our Instagram is private but we can show you at the venue visit. Or: we just launched so we don’t have many yet.

Real event output is different from studio samples. A studio sample is shot under perfect lighting conditions by someone who knows exactly how to pose for the booth. A real event output is shot in a dark barn at 10pm by someone’s grandmother in a fascinator. You want to see what the output actually looks like in the kind of venue and event setting you are planning, not what it can look like under ideal conditions. If a company cannot show you real event output, you do not know what you are buying.

05 Ask this:

What happens if you have to cancel or cannot make it to my event?

✓  Good answer: We have a written cancellation policy. In the unlikely event we cannot attend, we would notify you as early as possible, make every effort to find a replacement vendor, and issue a full refund of any deposits paid. Here is our contract language on this.
✗  Red flag: We have never cancelled on a client. Or: we would obviously refund your deposit. Or: let’s not worry about that.

A vendor who dismisses this question has not thought through what a cancellation would actually mean for your event. A vendor with a real answer has been in this situation before or has had the professional maturity to plan for it. You want the refund policy and the cancellation process in writing in your contract before you pay anything. The fact that they have never cancelled before is irrelevant — neither had anyone else until they did.

06 Ask this:

How long does setup take, and when will you arrive relative to my event start time?

✓  Good answer: Setup takes approximately [X] hours. We arrive [Y] hours before your event start time and the booth is fully operational before guests arrive. We do not count setup time toward your contracted booth hours.
✗  Red flag: We usually get there about an hour early. Or: it depends on the venue. Or: setup is included in your package hours, so your four-hour rental starts when we arrive.

Setup time eating into your contracted event hours is a common source of complaints in the photo booth industry. If a vendor arrives at 5pm, spends 90 minutes setting up, and your contracted hours run from 5pm to 9pm, your guests have a booth from 6:30 to 9pm — not four hours. Get the arrival time and setup protocol in writing. A professional vendor arrives with enough lead time that the booth is ready before the first guest walks in.

07 Ask this:

What is the quality of your print output, and what printer do you use?

Professional photo booth equipment with dye-sublimation printer

✓  Good answer: We use a [specific model] dye-sublimation printer. Prints are produced in [X] seconds, last [Y] years without fading under normal conditions, and are water-resistant. Here is a physical sample.
✗  Red flag: Our printer is high-quality. Or: it’s a professional photo printer. Or they cannot name the printer model.

Dye-sublimation is the standard for professional photo booth printing. Inkjet printers produce outputs that smear when wet, fade within months, and take significantly longer per print — which creates a queue at a busy event. A company that cannot tell you what printer they use probably does not know whether it is appropriate for live event use. Ask for a physical print sample if you are meeting in person; the difference between a dye-sub print and an inkjet print is immediately obvious when you hold them.

08 Ask this:

Do you carry liability insurance, and can you provide a certificate of insurance to my venue?

✓  Good answer: Yes. We carry [X] million in general liability insurance. We can provide a certificate of insurance addressed to your venue within [timeframe]. This is standard for any professional vendor.
✗  Red flag: We don’t carry insurance because we’ve never had an incident. Or: our equipment is insured but we don’t have liability coverage. Or: I’ll have to check on that.

Most professional event venues in Lancaster County — and virtually every hotel, estate venue, and country club — require vendors to carry liability insurance and to provide a certificate of insurance before the event. A photo booth company that does not carry liability insurance either cannot legally operate at those venues or will not tell the venue they are there. If your venue has a vendor approval process and your photo booth company is not insured, you may arrive on your wedding day to find the booth cannot be set up.

09 Ask this:

How do guests receive their photos, and how long does delivery take?

✓  Good answer: Guests receive photos via QR code immediately on-site. A full digital gallery of all event images is delivered to you within [X] hours by a shared link. Prints are produced in [Y] seconds per session. We also provide a [USB / digital download] of the complete gallery.
✗  Red flag: Guests can download from our app — they just need to create an account. Or: we send the gallery within a few weeks. Or: digital delivery is an add-on.

The delivery mechanism matters at a live event. A system that requires guests to download an app and create an account before they can access their photo will see low adoption and frustrated guests. QR code instant delivery requires nothing from the guest except pointing their phone at a screen — which anyone can do. The post-event gallery timeline also matters: two weeks is not a reasonable delivery window for a wedding where guests are eager to share. Get both timelines — on-site and post-event — confirmed in writing.

10 Ask this:

Have you worked at my venue before, and do you know its layout and lighting conditions?

✓  Good answer: Yes, we have set up at [venue name] before. The main considerations there are [specific: lighting in the main hall, loading dock access, power outlet location, ceiling height for the 360 arm]. Here is how we handle that setup.
✗  Red flag: No, but we can figure it out. Or: we work at venues all the time, it’s always fine. Or: we’ll do a site visit closer to the date if we have time.

Venue familiarity is one of the most underrated factors in photo booth performance. A vendor who has been at your venue before knows where the power outlets are, whether the natural lighting in the main hall washes out certain setups, which areas create a traffic flow problem, and what the load-in process looks like. A vendor who has never been there and is not curious about these things is planning to figure it out on your event day — which is the wrong time for that.

Three More Things to Look for Without Asking

Beyond the ten questions above, three things tell you a lot about a vendor without requiring a single conversation:

Their response time to your initial inquiry

A vendor who takes four days to reply to a quote request is showing you their communication style. If they are slow before you give them money, they will be slow with venue certificates, contract revisions, and day-of communication. The vendors who respond to inquiries within a few hours are the vendors who have systems in place.

Whether their contract is specific

A one-page contract that says “photo booth rental for your event” is not a contract. A professional contract names the specific booth type, the specific date and venue, the specific hours, the specific deliverables, the cancellation policy, the damage policy, and the overtime rate. If the contract is vague, the service will be vague when something goes wrong.

Whether their Google and Wedding Wire reviews mention specific staff by name

Generic positive reviews — “Great experience!” “Could not recommend more!” — tell you very little. Reviews that mention a specific attendant by name, describe a specific moment at a specific venue, and include details that could only come from a real experience tell you that the vendor delivers at a consistent level across different events and different staff members.
